Documents you need to bring

 

The minimum we will require for a company income tax return and financial statements:

  • Last year’s accounts and tax returns including bank reconciliation, trial balance, list of debtors and creditors,
  • List of the active assets used in the business, reconciled to depreciation schedule
  • Franking account details
  • A copy of all finance/operating leases, rental and hire purchase agreements
  • A copy of all your investment acquisition and disposal documentation 
  • A copy of the company Constitution and statutory file, Trust Deed or partnership agreement

 

Do you know what you need to bring? If we do your BAS we will have most of what is needed and you may only need to fill in a few gaps. Will you need to bring in any of the following?

  • Your end of year stocktake and the valuation method you used.
  • Stock taken for own use?
  • MYOB files or the files of any other software package you use. If you do not use any form of software package then  perhaps bank statements with narrations in the margins.
  • Copies of rental and hire purchase agreements, Chattel mortgages or new finance or operating leases.
  • Share purchases and sales; dividend statements and all other investment details
  • End of year accounts payable and accounts receivables closing balances.
  • Salary & bonus agreements with staff, including fringe benefits given to employees.
  • All new borrowings and documents.
  • Any funds that you have contributed to the business.
  • If you have made loans to your business did you make any repayments to yourself?.
  • Loan agreements for any directors loans to deal with Division 7A. 
  • Personal use of business assets (i.e. mobile phone and/or motor vehicle).
  • Do you use  (e.g.  mobile phones, home office, motor vehicle), assets of a personal nature for business use? We will need those details too.
  • If you acquired assets or disposed of during the year.
  • Log book for motor vehicle use, good for 5 years  unless you have change motor vehicle in the past year.
  • Your PAYG payment summary.
  • Personal credit card statements if used for business expenses
  • Did you use contractors what did you pay them? 
     

    For a superannuation fund the minimum we will require is:

    •  Last years accounts and tax returns
    • Include auditor’s opinion with accounts for previous year
    • The Trust deed  and any amendments
    • The statutory file with all minutes of meetings
    • Signed binding death nominations
    • Member's records and details
    • The investment strategy
    • A copy of all the documents relating to acquisitions and disposal of  any investments
    • The ATO compliance letter

     

  • Employee details, have they been offered super choice, superannuation details
  • Details of any other income.
  • If you generate your income from a limited client base, what percentage of your income is generated from one source, you may have a personal services income problem.

Superannuation Fund Document Checklist   
    
If you have your own superannuation fund the following information will be required:

  • All investment documentation , buy sell documents, holding statements etc...
  • Bank statements or copies with details of each transaction narrated in the margins. 
  • Evidence of the existence of the assets and of market value at year end 
  • Are all assets registered in the funds name?
  • Details of all contributions
  • If any benefits were paid we will need the details
  • We will need your trust deed for the superannuation fund in order that the fund might be audited in accordance with all legislation and regulation pertaining to self managed superannuation funds.    
  • Has your fund deed been amended?
  • Minutes of meetings
